The PM Operations Coordinator is responsible for coordinating activities related to service coordination, work order management, tenant and team communication, and day-to-day department operations.

ABOUT THE ROLE:
The Property Management Operations Coordinator is an integral member of the Property Management team and responsible for the following:
Service Coordination & Work Order Management Assisting with day-to-day operations of the property portfolio by answering and responding to tenant emails/calls, opening tickets, scheduling service and vendors, following up, and providing excellent customer service.
Closing out and completes work orders daily.
Ensures all billing is closed by month end.
Meeting with maintenance staff regularly to ensure efficient work flow Communication Proactive communication with tenants regarding preventative maintenance and building initiatives or updates Serving as first point of contact for tenants and as a liaison for communication between maintenance crew and tenants Department Operations Drafting various forms, spreadsheets, manuals, information packages, and miscellaneous written information.
Ex.
Tenant manuals, tenant memos, contact lists, etc.
Reviewing and approving property management invoices Filing and tracking expiration dates for Master Service Agreements, Certificates of Insurance and expenses and receipts related to work orders.
Scheduling various preventative maintenance work and inspections Assisting Operations Manager in areas related to process improvement, software roll-out, and setting up service contracts.
Assisting Residential Property Manager in areas related to leasing, tenant files, collections, tenant improvement, etc.
Supporting the Director of Property Management with administrative tasks and calendar management Minimum Requirements Valid NYS Driver's License.
General understanding of property management and lease language, preferred Excellent professional written and spoken communication skills Customer service orientation and the ability to communicate effectively with all audiences including colleagues, tenants, clients, and vendors Ability to triage work quickly to deploy appropriate resources with a sense of urgency where appropriate Ability to work independently as a coordinator of resources to ensure service coverage Strong computer skills, including proficiency with MS Office applications such as Excel & Outlook.
Experience with work order management software preferred.
Ability to shift focus, prioritize and meet deadlines Values organization and efficiency in work processes
